FT Wholesale and Special Projects Coordinator
OVERVIEW
Ariel Gordon Jewelry is looking for a driven and nimble Wholesale and Special Projects Coordinator who will meet the needs of both wholesale and retail customers. This role requires proactive oversight of jewelry as it travels through the production and delivery cycle between vendors, clients, and press. You will communicate with wholesale accounts regarding production timelines of all wholesale orders, tracking payments and consignment jewelry from wholesale accounts, and ensuring timely processing from order placement to fulfillment. Anticipating the needs and requirements of AGJ, a small team of dedicated employees, will require flexibility, initiative, open communication, and planning to function smoothly and efficiently.
While there are some consistent daily tasks, most days will be different as this position will fill in where the team needs them most depending on overall seasonal workflows including answering customer service emails, prepping for photo shoots, processing jewelry repairs, working trunk show sales, or taking showroom appointments. In this role, you will help maintain the website: product pages, collection assortment, images, descriptions, inventory and merchandising the website as product assortment evolves, and tagging products appropriately for collections and site functionality. You will help coordinate photo imagery to maintain and archive digital asset databases - product photography, user-generated content, lookbook photography, etc.
This role requires a willingness to jump in on various tasks on the fly and the personal initiative to recognize where the team needs you most. This requires a detail-oriented mindset, solutions-based thinking, and a well-spoken, quick-typing, and proactive individual. Must be based in the Bay Area, this position is on-site at our sunny offices in Berkeley.
RESPONSIBILITIES
WHOLESALE OPERATIONS
- Communicate with wholesale accounts regarding production timelines and fulfillment of orders
- Invoice and receive payments
- Pulling, packing, and shipping all wholesale orders
- Relationship management with wholesale accounts including general check-ins, sell-throughs and reorder suggestions
- Review OH and sell-through reports from wholesale accounts on a monthly basis to provide re-order/RTV suggestions
- Packing and preparing for trade shows and trunk shows
- Attending trunk shows or tradeshows on behalf of AGJ
- Oversight and management of all consignment accounts (inventory, invoicing, etc)
- Assist with quality control of merchandise
- Receiving RTV’s
WEBSITE MAINTENANCE
- Assist with website maintenance and upkeep (merchandising collection pages, updating product pages, imagery asset management, descriptions, etc). Knowledge of Shopify is a huge plus.
PRODUCTION & ORDER FULFILLMENT
- Assist with the preparation of vendor purchase orders
- Assist with quality control and receiving of merchandise that comes back from vendors
- Pre-package jewelry backstock and pre-assemble shipping and packaging components and manage packing materials inventory
- Assist E-Commerce Managers, Production Director, and Client Experience Manager with the timely fulfillment of all web orders, wholesale orders, custom orders, and repairs as needed.
GENERAL OFFICE SUPPORT
- Share the duties of day-to-day office functions (phones, mail, receiving packages, filing)
- Attend company functions, events, photo shoots, occasionally outside of regular working hours
- Execute ad hoc seasonal or one-off projects in partnership with other team members
MARKETING & SAMPLE COORDINATION
- Assist with imagery and asset management after biannual in-house photoshoots to ensure that it is correctly cataloged and uploaded to the website
- Coordinate with marketing team to facilitate pulls / checking merchandise in and out / monitoring timeliness of returns
- Maintain jewelry sample line for use in-house, trade shows, private sales, showroom appointment and photoshoots
CUSTOMER EXPERIENCE
- Assist Client Experience Manager during peak season rushes
- Be available to work with clients in studio, via zoom, phone, email, or chat in a timely and friendly manner (knowledge of Zendesk helpful but not required)
- Execute exceptional customer experience in all interactions and escalations with customers
THE SUCCESSFUL CANDIDATE WILL HAVE
WORK EXPERIENCE
- A minimum 1-3 years experience of relevant office experience
EDUCATION
- College or Junior College Degree
QUALIFICATIONS
- An interest in jewelry and the jewelry industry, and / or experience in bespoke production
- Detail-oriented, analytical, organized, self-motivated, punctual
- Ability to work in a fast-paced setting under tight deadlines with strong project and time management skills
- Comfortable working both autonomously and collaboratively with a team
- Knowledge and aptitude for working with backend e-commerce technology (Shopify, Zendesk, Quickbooks, Slack, Google Docs, Google Drive, Airtable, etc). A working knowledge of Adobe programs (Photoshop, Illustrator, InDesign) is a huge plus.
LOCATION
- Must be based in Bay Area within commuting distance of our offices in Berkeley, this position is full time in-office.
COMPENSATION
- This is a full time position from 9:30 am - 5:30 pm with salary pay
- $67,000 - $75,000 annual compensation DOE
